What you'll be doing
The Administration Coordinator is responsible for managing administrative projects and coordinating daily tasks and operational requirements, in addition to providing support across related areas.
Key Responsibilities
- • Assist in confidential correspondence, reports, and other complex documents
- • Provide support to project leaders and teams
- • Maintain and update databases related to specific projects or tasks
- • Conduct research and prepare statistical reports, documents, and presentations
- • Ensure proper tracking of requisitions, contracts, and orders
- • Participate in relevant projects and community activities as needed
- • Consolidate retail reports, prepare meeting minutes, and track action points and deadlines for retail leaders
- • Manage schedules and oversee administrative matters for the retail department, including leave tracking and movement trackers
- • Facilitate effective communication between store teams, support functions, and retail leadership
- • Utilize AI tools effectively to create presentations, design visual reports, and prepare impactful slides
- • Maintain strong proficiency in office and retail systems (e.g., Microsoft Office, Teams, SharePoint, retail dashboards)
- • Handle sensitive information with a high degree of confidentiality and professionalism
- • Coordinate logistics for retail events, trainings, and department-wide meetings to ensure smooth execution
- • Book meeting rooms, organize team activities, and support logistics for internal events and department gatherings
What you’ll need to succeed
- Minimum 3 years of experience as an executive assistant or any related field.
- Fluency in English language.
- Proficiency in Microsoft Programs ( Word, Excel, PowerPoint) is a must.
- The ideal candidate is dynamic, detail oriented, possesses strong follow-up skills with ability to leverage AI tools.
